Administrative Assistant
SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:
(including but not limited to:)
- Answer and direct phone calls.
- Greet and assist visitors to the office.
- Prepare and monitor invoices.
- Carry out administrative duties such as filing, typing, copying, scanning, etc.
- Maintain computer and manual filing systems.
- Maintain Village website & social media.
- Produce newsletter, at least quarterly.
- Assist with utility billing and receiving payments.
- Assist the police chief and officers with clerical tasks, as requested.
- Handle sensitive information in a confidential manner.
- Facilitate payroll processing, from timesheets to reporting.
- Research grants and apply if needed.
- Assist other departments as needed.
MINIMUM EDUCATION AND REQUIREMENTS:
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in MS Office.
- Exhibits a comfort level with a variety of technology platforms.
- High school diploma or equivalent, minimum. Advanced training is preferred.
- Must be bondable by a surety company.
- Certification as a notary public must be obtained after appointment to this position.
