Administrative Assistant

SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:

     (including but not limited to:)   

  •          Answer and direct phone calls.
  •          Greet and assist visitors to the office.
  •          Prepare and monitor invoices.
  •          Carry out administrative duties such as filing, typing, copying, scanning, etc.
  •          Maintain computer and manual filing systems.
  •          Maintain Village website & social media.
  •          Produce newsletter, at least quarterly.
  •          Assist with utility billing and receiving payments.
  •          Assist the police chief and officers with clerical tasks, as requested. 
  •          Handle sensitive information in a confidential manner.
  •          Facilitate payroll processing, from timesheets to reporting.
  •          Research grants and apply if needed.
  •          Assist other departments as needed.

 

MINIMUM EDUCATION AND REQUIREMENTS:

  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in MS Office.
  • Exhibits a comfort level with a variety of technology platforms.
  • High school diploma or equivalent, minimum.  Advanced training is preferred. 
  • Must be bondable by a surety company.
  • Certification as a notary public must be obtained after appointment to this position.
